Start with how the space will be used
A useful tent enquiry begins with the activity the space must support. A warehouse needs goods-handling routes; a reception needs guest circulation and service areas; a sports facility needs an activity layout and suitable clearances. Describe normal operation as well as busy periods, equipment movements and any connections to existing buildings.
State whether the requirement is for a single event, seasonal use or a longer operating period. This helps define which configuration and supporting services should be reviewed.
Separate usable space from overall dimensions
Share the approximate clear span, length and usable height you need. Include the dimensions of equipment, vehicles, courts, stages or furniture that must fit inside. Mark door openings, loading areas, circulation routes and any areas that must remain unobstructed.
If the layout is still being developed, send a simple sketch and explain what is fixed and what can change. Avoid selecting a structure solely by its external footprint: internal arrangements, enclosure choices and access requirements also matter.
Describe the site before choosing a configuration
Provide the project location, photographs and an available site plan. Show existing buildings, access routes, changes in level, drainage features and known obstructions. Identify what is known about the ground and what information still needs to be established.
The proposed configuration, anchoring or foundation approach and relevant supporting documentation require review for the actual site. A catalogue photograph or standard size is an initial reference, rather than a site-specific specification.
Agree the scope and the dates
Give both the required ready-for-use date and the available installation window. Allow the proposal to distinguish product supply, documentation, inspections, transport, unloading, site works, installation and handover. Name the parties expected to provide utilities, local coordination and any required approvals.
Share a target budget or priority range where available. Explain whether appearance, enclosure comfort, programme or future reuse is the main decision factor. This makes alternatives easier to assess.
